What we collect

When you enroll a player at Riverkrest Football Academy, we collect the following information:

• Player's full name and date of birth
• Parent or guardian name and contact details (email and phone)
• Age group and program tier selected
• City location (Kingston or Ottawa)
• Payment information (processed securely by Stripe — we never store card numbers)
• Any additional notes you provide (allergies, medical info, previous experience)

How we use it

We use the information you provide solely to operate the academy and communicate with your family:

• Processing and confirming your enrollment
• Communicating session schedules, changes, and reminders
• Enabling coaches to prepare for your player's tier and needs
• Sending block renewal information at the end of each session
• Responding to your questions and support requests

We do not use your information for advertising, and we do not sell it to any third party.

Who we share it with

We work with a small number of trusted service providers to operate the academy. Your data may pass through:

• Stripe — payment processing. Stripe handles all card transactions securely. We never see or store your full card number.
• Netlify — our website and form hosting provider. Enrollment submissions are stored on Netlify's secure servers.
• Zapier — used to route enrollment notifications to our team email. No data is stored by Zapier beyond the automation trigger.
• Google Sheets — internal roster management. Accessible only to Riverkrest staff.

How we store it

Enrollment data is stored in Netlify Forms and our internal Google Sheets roster. Access is limited to Riverkrest coaching and administrative staff. We retain enrollment records for the duration of your player's active participation and up to two years after the last session, after which records are deleted.

Payment records are retained as required by Canadian tax law.

Your rights

You have the right to:

• Request a copy of the information we hold about your player
• Ask us to correct inaccurate information
• Request deletion of your data (subject to legal retention requirements)
• Withdraw consent for non-essential communications at any time

Cookies

Our website does not use tracking cookies or advertising pixels. We use only essential technical cookies required for the site to function.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with an updated date. Continued use of our services after changes constitutes acceptance of the updated policy.
